By booking or using any of our services, you agree to be bound by these Terms and Conditions. Please read them carefully before placing a booking.
1. Definitions
In these Terms and Conditions, the following expressions have the meanings set out below:
Customer means the individual or business who requests and purchases services from Carpet Cleaners W1J.
Services means carpet cleaning and any additional cleaning or related services that we agree to provide.
Premises means the property or location where the Services are to be carried out.
Agreement means the contract between the Customer and Carpet Cleaners W1J formed in accordance with these Terms and Conditions.
2. Scope of Services
Carpet Cleaners W1J provides professional carpet cleaning and related services within our designated service areas. The exact scope of work for each booking, including the areas to be cleaned, the type of cleaning process to be used and any additional services, will be agreed at the time of booking.
We reserve the right to refuse or discontinue Services where we reasonably believe that:
The Premises are unsafe or unsanitary beyond normal expectations.
Access is restricted or inadequate for our equipment or personnel.
The work requested falls outside our usual service capabilities or would pose a risk to our staff, equipment or the Premises.
3. Booking Process
3.1 Booking Requests
Customers may request a booking by contacting Carpet Cleaners W1J and providing accurate details about the Premises, the areas or items to be cleaned and any particular requirements. Bookings are subject to availability and are not confirmed until we have provided written or verbal confirmation, including the agreed date, time window and price estimate or quotation.
3.2 Information Required
At the time of booking, you must provide:
Your full name and contact details.
The full address of the Premises.
A description of the areas or items to be cleaned, including approximate sizes, types of carpets or fabrics and any known stains or damage.
Any access restrictions such as parking limitations, entry codes or building regulations.
3.3 Changes to Bookings
Any requests to amend the date, time or scope of your booking must be made as early as possible. We will use reasonable efforts to accommodate changes but cannot guarantee availability. Changes may result in an adjustment to the price.
4. Access to the Premises
You are responsible for ensuring that we have safe and timely access to the Premises at the agreed time. You must provide accurate instructions for access, including any entry codes, keys or instructions for reception or security personnel.
If we cannot gain access at the agreed time, or if access is delayed by more than a reasonable period, this may be treated as a late cancellation and a charge may be applied in accordance with the cancellation terms set out below.
You are responsible for securing any valuables and fragile items before the Services commence. We do not accept responsibility for loss or damage to items that have not been adequately secured or removed from the cleaning area.
5. Customer Responsibilities
To enable us to provide the Services, you agree to:
Ensure that electricity and water are available at the Premises.
Ensure that the areas to be cleaned are reasonably clear of personal items, clutter and obstructions.
Inform our staff of any known hazards, health and safety risks, alarm systems or special instructions related to the Premises.
Notify us of any carpets, rugs, upholstery or surfaces that are delicate, damaged, loose, colour-unstable or require special care.
Refrain from walking on freshly cleaned carpets or fabrics until they are fully dry, or follow any specific instructions given by our staff.
6. Pricing and Quotations
6.1 Estimates and Quotations
Any price communicated to you prior to inspection of the Premises is an estimate based on the information you provide. We reserve the right to adjust the price if the actual condition, size or nature of the work differs from the description originally given.
Where we provide a quotation following an inspection or based on detailed information, that quotation will normally remain valid for a limited period, which we will specify at the time. Quotations are inclusive or exclusive of VAT as stated at the time of booking.
6.2 Additional Charges
Additional charges may apply where:
There is excessive staining, soiling or pet contamination requiring extra time, materials or specialist treatment.
Parking fees, congestion charges or similar local access charges are incurred in order to attend the Premises.
Extra rooms, areas or items are added to the scope of work on the day of service.
7. Payments
7.1 Payment Terms
Unless otherwise agreed in writing, payment is due on completion of the Services on the date of service. We accept common payment methods as communicated to you at the time of booking.
For business customers or regular contracts, alternative payment terms may be agreed in writing. Where such terms are agreed, invoices must be settled by the due date specified on the invoice.
7.2 Late Payments
We reserve the right to charge interest on overdue amounts at the statutory rate applicable under UK law, accruing on a daily basis from the due date until payment is made in full. We may also suspend or cancel any further Services until outstanding balances are paid.
8. Cancellations and Rescheduling
8.1 Customer Cancellations
If you need to cancel or reschedule your booking, you must notify us as soon as possible. We operate a cancellation policy to cover costs associated with short notice changes.
Cancellations or rescheduling requests made more than 48 hours before the scheduled start time will normally be accepted without charge.
Cancellations made within 48 hours of the scheduled start time may incur a cancellation fee, which may be calculated as a percentage of the quoted price or a fixed call-out charge.
Where we arrive at the Premises and are unable to gain access or the work cannot proceed for reasons within your control, this may be treated as a same-day cancellation and a full or substantial charge may be applied.
8.2 Company Cancellations
In the unlikely event that we need to cancel or reschedule your booking due to staff illness, equipment failure, adverse weather or other circumstances beyond our reasonable control, we will notify you as soon as practicable and offer an alternative appointment. Our liability in such cases is limited to rescheduling the service or refunding any pre-paid amounts for the affected booking.
9. Service Standards and Complaints
9.1 Service Quality
We aim to provide Services with reasonable care and skill, consistent with industry standards for professional carpet cleaning. However, due to the nature of textiles and fibres, we cannot guarantee complete removal of all stains, odours or wear marks.
9.2 Complaints Procedure
If you are dissatisfied with any aspect of our Services, you must notify us as soon as possible, and in any event within 48 hours of completion of the work. We may arrange a revisit to inspect the work and, where appropriate, attempt to rectify any issues. Our obligation is limited to providing a reasonable remedy, which may include re-cleaning certain areas or offering a partial refund, depending on the circumstances.
10. Liability and Limitations
10.1 General Liability
We will be liable for direct loss or damage to your property to the extent that such loss or damage is caused by our negligence, breach of contract or failure to exercise reasonable care and skill. Our liability is limited to the reasonable cost of repair or replacement of the affected item, taking into account age, condition and fair wear and tear.
10.2 Exclusions
We are not liable for:
Pre-existing damage, defects, discolouration, wear, fading or shrinkage.
Damage arising from the nature or condition of the carpet, fabric or surface that was not apparent before cleaning, including weak seams, loose backing, prior improper cleaning or the use of incompatible products by third parties.
Loss or damage resulting from inaccurate, incomplete or omitted information provided by you regarding the nature and condition of the items to be cleaned.
Any indirect or consequential loss, including loss of profits, loss of business or loss of opportunity.
10.3 Maximum Liability
Except in cases of death or personal injury caused by our negligence or fraud, our total aggregate liability to you for any claims arising out of or in connection with the Services and these Terms and Conditions shall not exceed the total amount paid or payable by you for the specific booking giving rise to the claim.
11. Health, Safety and Waste Regulations
11.1 Health and Safety
We operate in accordance with applicable health and safety regulations and industry best practice. Our staff are instructed to follow safe systems of work and to use cleaning products and equipment responsibly.
You must inform us of any health and safety issues at the Premises, including but not limited to fragile flooring, loose wiring, trip hazards, presence of hazardous materials or any relevant medical or allergy considerations affecting occupants.
11.2 Cleaning Products
We use professional cleaning solutions that are appropriate for the surfaces being treated. Safety data sheets are available on request for the products we use. Where you request the use of particular products or your own materials, we accept no responsibility for the performance or side effects of those products.
11.3 Waste Handling and Disposal
Carpet Cleaners W1J complies with applicable UK waste management and environmental regulations. Waste generated during the course of our Services, such as extracted soiling, packaging from products we supply or disposable cleaning materials, will be handled in a manner consistent with relevant regulations.
Where our Services require disposal of significant quantities of waste or special categories of waste, additional charges may apply and will be discussed with you in advance. You agree not to request that we dispose of hazardous, controlled or illegal waste. We reserve the right to refuse to remove or handle any waste that may be in breach of legal or environmental requirements.
12. Insurance
We maintain appropriate insurance cover in connection with our Services, including public liability insurance. Details of our insurance arrangements can be made available upon reasonable request.
13. Data Protection and Privacy
We collect and process personal data in order to manage bookings, deliver Services and handle payments and communications. We are committed to handling your personal information in accordance with applicable UK data protection legislation.
We will not sell your personal data to third parties. We may share limited information with trusted service providers who assist us in operating our business, such as payment processors or administrative support, and only for the purposes of delivering our Services.
14. Force Majeure
We will not be liable for any failure or delay in performing our obligations where such failure or delay results from events, circumstances or causes beyond our reasonable control, including but not limited to extreme weather, flooding, fire, industrial disputes, power failures, transport disruptions or acts of government. In such cases we will use reasonable endeavours to inform you and to reschedule the Services.
15. Changes to These Terms and Conditions
We may update or amend these Terms and Conditions from time to time to reflect changes in the law, our business practices or the Services we offer. Any changes will take effect from the date they are published or otherwise communicated to you. The Terms and Conditions applicable to your booking are those in force at the time your booking is confirmed.
16. Governing Law and Jurisdiction
These Terms and Conditions, and any dispute or claim arising out of or in connection with them or their subject matter or formation, shall be governed by and construed in accordance with the laws of England and Wales.
You and Carpet Cleaners W1J agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms and Conditions or the Services provided.
17. Severability
If any provision of these Terms and Conditions is found by a court or other competent authority to be invalid, unlawful or unenforceable, such provision shall be deemed deleted and the remaining provisions shall continue in full force and effect.
18. Entire Agreement
These Terms and Conditions, together with any written quotation, confirmation of booking or separate contract for regular services, constitute the entire agreement between you and Carpet Cleaners W1J in relation to the Services. You acknowledge that you have not relied on any statement, promise or representation that is not expressly set out in these documents.
By placing a booking with Carpet Cleaners W1J, you confirm that you have read, understood and agree to these Terms and Conditions.
